Receive your first shipment
You’ll learn: how to turn a delivery into received stock — create a GRN against a PO, verify the lines, attach the invoice, and finalise with Save GRN. You’ll need: an Approved purchase order for a supplier, and the delivery in front of you.
1 · Open Goods Received Notes
In the sidebar, go to Replenish Stock → Procurement → Goods Received Notes. You’ll see the list with its KPI strip and status tabs.
2 · Create the GRN
Click Create GRN. Leave the toggle on With PO, pick your supplier, then select your approved PO. Notice the store and warehouse lock to the PO. Set the receipt date and payment mode, then click Proceed to Items.
3 · Verify the lines
The lines pre-fill from the PO. For each one, count the delivery and:
- set the Qty (and Bonus, if any),
- enter the Batch # and Expiry — the screen flags any line still missing them,
- check the Cost, Disc %, and taxes; the Margin and Line Total update live.
Got the same discount on everything? Expand Advanced options above the table, type it once in Apply discount to all, and click Apply.
4 · Add the invoice
In the Invoice Details card, enter the invoice number and date, pick the Invoice Type, toggle Official receipt if it’s a fiscal invoice, set the Payment mode just below, and drop the invoice file in the upload zone.
5 · Finalise
Check the totals bar at the bottom. When everything matches the supplier invoice, click Save GRN. The GRN moves to Completed, the stock posts to your warehouse, and the purchase voucher posts to accounting. Your shipment is received.
Not ready to finalise? Click Save Draft instead — it keeps everything editable and nothing posts until you come back and Save GRN.
